The type of personal information we collect

We currently collect and process the following information:

  • Personal identifiers, contacts and characteristics (for example, name and contact details)

How we get the personal information and why we have it

Most personal information we process is provided directly by you for one of the following reasons:

  • to allow us to maintain a register of Members and keep in contact with those Members;
  • to maintain a record of votes cast by Members at Member meetings;
  • to allow us to maintain a register of volunteers and keep in contact with those volunteers;
  • to allow us to maintain a record of and keep in contact with members of the organisation’s management team;
  • to allow us to maintain records relating to, and contact details for, other stakeholders.

We use the information you give us to manage the operations of the Musselburgh Community Pantry. We may share information internally within the organisation (for example, emails to multiple volunteers to share rota details).

Lawful bases

Under the UK GDPR, the lawful bases we rely on for processing this information are:

  • (a) Consent — where this is the basis for processing, you can withdraw consent at any time by contacting us.
  • (b) Public task — where processing is necessary for tasks carried out in the public interest.

How we store your personal information

Your information is securely stored.

  • For members: under our constitution, we must keep details of all current members and details of past members for six years from the date they ceased to be a member.
  • For general enquiries: we keep names and contact details for no more than two years from our last contact (and we may delete sooner if no longer required).

After the relevant period, we securely delete your information.

Your data protection rights

Under data protection law, you have rights including:

  • Access — ask us for copies of your personal information.
  • Rectification — ask us to correct or complete information you think is inaccurate or incomplete.
  • Erasure — ask us to erase your personal information in certain circumstances.
  • Restriction — ask us to restrict the processing of your personal information in certain circumstances.
  • Object — object to processing in certain circumstances.
  • Data portability — ask us to transfer the information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay a charge. We have one month to respond to a request. Please contact us at musspantry@gmail.com.

Duration of processing

For submissions made via our website or directly to us, we keep your data for no more than one year, unless the purpose of the contact is ongoing. You can ask us to delete your data sooner.
